What are the risks of handling Intrastat reporting yourself?

Three traps that companies moving goods within the EU fall into most often - regardless of industry.

Not every movement of goods is obvious

Intrastat covers not only classic trade but every physical movement of goods between EU countries: purchases of raw materials for production, components, goods for resale, and even equipment for your own business use. Many companies find out they have exceeded the threshold only after the fact - because they did not count a given transaction as "foreign trade".

The declaration filing deadline

The Intrastat declaration is filed electronically by the 10th day of the month following the reporting period. In a company focused on sales, production, or logistics, this deadline regularly gets lost behind matters that seem more important from an operational perspective.

The obligation does not end in the month you crossed the threshold

The President of Statistics Poland (GUS) announces new statistical thresholds for each tax year, and once the obligation arises, it lasts until the end of the year in which the threshold was exceeded and throughout the following calendar year - even if no transactions took place in a given month. In that case, a nil declaration is filed, and skipping it is one of the most common mistakes made by companies that handle Intrastat on their own.

How does Evotax handle Intrastat reporting?

Four elements of our service that take responsibility for timely and accurate filings off your shoulders - regardless of your industry. You run your business, we handle the formalities - and we take responsibility for them instead of just advising from the sidelines.

We check whether and when you exceed the threshold

We review your arrivals and dispatches against the basic and detailed thresholds set by the President of GUS for the given year - assessed separately for each flow direction. We let you know in advance in which month the reporting obligation arises, before you find out about it during an inspection.

We prepare and submit declarations via PUESC

We complete and submit Intrastat Arrivals and Intrastat Dispatches declarations electronically via PUESC (the Polish Electronic Customs and Tax Services Platform) to the competent authority - the Director of the Revenue Administration Regional Office in Szczecin. You do not need to know the PUESC system or the declaration format.

We keep track of deadlines, including nil declarations

The deadline of the 10th day of the month following the reporting period is in our calendar, not yours - including months with no transactions, when a nil declaration is required.

We connect Intrastat with the rest of your filings

We process Intrastat reporting in one system together with your EU VAT (VAT-UE) filings and accounting, so the data matches in the event of an inspection - with no discrepancies between documents.

Our numbers

Why Evotax and not a regular accounting firm?

Three differences you will notice in the very first month of working with us. We are not selling you another service from a list - we take on real responsibility, so you can stop thinking about Intrastat in terms of risk.

We see Intrastat as part of the bigger picture, not a separate formality

We do not treat Intrastat reporting as a separate technical service cut off from the rest of your accounting. We look at it together with EU VAT and your company's tax settlements - so the data matches, whether you are a manufacturer, distributor, online store, or transport company.

One point of contact for EU VAT, CIT, and Intrastat

You do not have to split Intrastat between several firms or departments. The data behind your intra-EU declarations, EU VAT settlements, and corporate income tax (CIT) goes to one team.

We take responsibility for the timeliness and accuracy of your declarations

From the moment the contract is signed, monitoring thresholds, deadlines, and data accuracy in your Intrastat declarations stops being your problem and becomes our responsibility. If something goes wrong on our side, we are responsible for fixing it - you are not left looking for someone to blame under time pressure during an inspection.

Intrastat Reporting - Frequently Asked Questions

Which transactions count toward the Intrastat threshold?

Every physical movement of goods between Poland and another EU country that exceeds the statistical threshold value - whether it involves goods for resale, raw materials for production, or equipment for your own business use. Services are not subject to Intrastat.

What happens if I exceed the threshold during the year?

The reporting obligation arises from the month in which the threshold was exceeded (the first declaration is due by the 10th day of the following month) and lasts until the end of that year and throughout the following calendar year - regardless of whether the threshold is exceeded again.

Do I have to file a declaration if there were no transactions in a given month?

Yes. If the reporting obligation has already arisen and no intra-EU transactions took place in a given month, a nil declaration is filed. Skipping it is one of the most common mistakes made by companies that handle Intrastat on their own.

How does Intrastat differ from EU VAT?

Registration in the EU VAT (VAT-UE) register does not in itself create an Intrastat reporting obligation - what matters is the value of the physical flow of goods compared to the statistical threshold, assessed separately for arrivals and dispatches. Both obligations can apply in parallel, but they serve different purposes and cover different data.

What are the consequences of a late or incorrect declaration?

A missing, late, or incorrect Intrastat declaration can result in corrections, explanations before the customs and tax authority, and in some cases an administrative sanction. The scale of the consequences is usually out of proportion to the time it would take to file correctly and on time.
