Accounting for franchises - settlements that meet your network's requirements

License fees, sales reports for the franchisor and VAT on license fees call for different accounting than a regular business, and a mistake costs you a correction and interest. Evotax takes over the whole process: from the first initial fee to the monthly report for your network.

What do you get with Evotax's accounting for franchises?

Three things you have ready every month, without chasing deadlines or copying data from the cash register into a spreadsheet.

Accounting for the initial fee and ongoing network fees

We classify the license fee either as an intangible asset or as an ongoing expense, depending on its nature, and handle the correct depreciation or records. You do not have to guess whether your initial fee should be expensed at once or spread over several months.

Reports that meet the franchisor's requirements

We prepare daily and monthly sales reports in the format your network requires, based on data from your cash register or POS system. You do not have to compile the numbers by hand before sending them to headquarters.

VAT and PIT/CIT settlements tailored to the franchise model

We deduct input VAT from the franchisor's invoices and settle income tax according to your form of taxation: lump-sum tax, KPiR or full accounting. You choose the form, and we make sure everything is compliant.

Support during tax audits and network audits

We prepare documentation for tax office or social security (ZUS) inspections as well as for the franchisor's audit, and we represent you in dealings with the authorities when needed. You are not left alone: we answer the inspectors' questions together with you, not from behind the scenes.

Our numbers

Why is franchise accounting different?

A franchise is not just a regular business under a different name. It has its own costs, its own reports and its own systems that must be handled correctly from the very first month.

Initial fee vs. intangible asset

The fee for joining a network is a different kind of cost than a regular business expense. If it exceeds a certain threshold, it must be depreciated rather than expensed at once. We account for it the way the law requires, not the way that is quickest.

Reporting to the franchisor

Your network requires its own sales report format, often separate from standard tax reporting. We adapt the accounting to these requirements, not the other way around, so you do not have to explain to us what headquarters needs.

Network systems - cash registers and POS

Franchisees usually work with sales software required by the network. We import data from it without manual re-entry, so the monthly report needs no work on your part.

What do you risk by putting off proper franchise accounting?

A mistake in franchise accounting does not end with a corrected tax return. It can also cost you your relationship with the network.

Misclassifying the license fee

Expensing the initial fee at once when it should have been depreciated means correcting your tax return and paying interest on the arrears at the next audit. We account for it once, and correctly.

Settlements that do not meet network requirements

Franchisors have audit rights under the franchise agreement. Settlements that are inconsistent with their requirements risk a dispute and, in extreme cases, the future of the partnership. Our reports match your network's format from the very first month.

Accounting

Why Evotax and not a general accounting firm?

We are not a do-everything accounting firm. Franchising has its own specifics, and we treat it as a separate area of expertise.

We know how the franchise model works

You do not have to explain license fees, royalties or franchisor reports to us. We handle them from the first month of working together.

Many satisfied clients across industries

Many franchisees from different industries already trust us: retail, food service and services. Check whether we already work with franchisees in your network.

One point of contact for everything

VAT, PIT/CIT, HR and payroll for your staff, and settlements with the network, all with one firm, without switching between service providers.

How to start working with Evotax

Three steps from first contact to ready settlements, with no break in your ongoing reporting to the network.

We review the financial terms of your agreement and your current settlements to propose the right form of taxation and classification of fees.

Step 2 - onboarding and data migration

Let's talk about accounting for your franchise

Do you run a franchise location and want to be sure your accounting meets both your network's requirements and Polish tax law? Professional accounting for retail franchisees helps you avoid mistakes, organize all your financial processes and gain full control over costs and sales results.

Accounting for franchises - frequently asked questions

How much does accounting for a franchisee cost at Evotax?

The price depends on your form of taxation and the number of documents per month. We prepare an individual quote after an initial conversation and a review of your franchise agreement.

Do you account for the initial fee as a one-off expense or through depreciation?

It depends on the amount of the fee and its legal nature. If it exceeds the statutory threshold, we classify it as an intangible asset and account for it through depreciation charges. We review this individually for each agreement.

Do you prepare reports in the format our franchisor requires?

Yes. We adapt the format of the daily and monthly report to your network's requirements, based on data from your cash register or POS system.

Do you integrate with our cash register or POS system?

Yes, we import sales data directly from the POS system or cash register used in your network, keeping manual data entry to a minimum.

What form of taxation is best for a franchisee?

It depends on your revenue, costs and legal form. We compare lump-sum tax, KPiR and full accounting during a free review at the start of our cooperation.

Do you also handle HR and payroll for our location's employees?

Yes, we provide HR and payroll for your franchise team as an additional service, billed under the same contract.

How long does it take to set up accounting for a new franchise?

A standard onboarding, including document migration and setting up reporting for the network, usually takes around 10 business days.
