Accounting

E-commerce accounting that keeps up with the pace of your sales

E-commerce accounting takes more than a standard accounting firm. What matters is knowledge of online sales, multiple sales channels, VAT settlements and how online stores actually operate. We offer full-service accounting for e-commerce, covering bookkeeping, tax settlements, accounting documents, invoice management and support in managing your company's accounting day to day.

How is e-commerce accounting different from standard accounting services?

E-commerce accounting differs from standard accounting because online stores generate a different kind of data: hundreds of micropayments, several sales platforms at once and cross-border sales subject to VAT OSS.

Without e-commerce expertise, an error in any of these areas only comes to light during an audit, usually too late to fix it without cost.

Hundreds of micropayments every month

Instead of a few invoices, dozens or hundreds of orders that must be booked individually or in batches, depending on the platform.

Several data sources at once

Allegro, Amazon and your own store are three different sales reports that must all reconcile with one VAT register.

Cross-border B2C sales

Once you exceed the distance selling (WSTO) threshold of EUR 10,000 (PLN 42,000) in total sales to consumers in other EU countries, you must settle VAT through OSS (or register for VAT in the country of sale), whether or not you are aware of it.

Mandatory KSeF

KSeF, the Polish National e-Invoicing System, has become mandatory for B2B transactions (from April 1, 2026 for most businesses and from February 1, 2026 for large taxpayers). For B2C sales, which dominate e-commerce, issuing invoices in KSeF remains optional. However, the obligation covers purchase invoices received from B2B suppliers and B2B sales, for example to other companies or marketplace platforms.

How does Evotax handle accounting for your online store?

Evotax handles online store accounting as one package: integration with sales platforms, VAT OSS settlements, KSeF support and choosing the right type of accounting for your scale. Below is each element, step by step.

Integration with sales platforms

We connect your accounting to Allegro, Amazon, Shopify and tools such as BaseLinker. Sales data flows into your settlements automatically, with no manual re-entry of orders.

VAT OSS settlements and WSTO threshold monitoring

We monitor the EUR 10,000 / PLN 42,000 threshold for you. When your cross-border B2C sales exceed it, we settle VAT through OSS, so you do not have to register for VAT in each EU country separately.

KSeF invoices and structured invoicing

Mandatory KSeF (from February 1, 2026 for large companies and from April 1, 2026 for everyone else) is already in place. We set up issuing and receiving structured invoices, integrated with your sales system.

Accounting matched to your business form

KPiR, lump-sum tax records or full accounting books: we choose the type of accounting to fit the scale and model of your sales.

HR and payroll

If your store has employees or contractors, we run HR and payroll in the same team, without passing it on to an outside firm.

What does a mistake in online store accounting cost?

A mistake in e-commerce accounting rarely costs only time. It usually costs real money.

A mistake with the WSTO threshold

Back VAT owed abroad plus interest, sometimes for several periods at once when the error comes to light late.

A mistake with KSeF

Not being ready for KSeF in B2B transactions means additional invoice markings in your JPK file (the BFK code) and a risk of penalties from 2027 if you also sell to other businesses. Manually settling sales, in turn, is lost time you could spend growing your store.

Manually reconciling sales from several platforms

Hours every month spent checking that the data matches instead of growing your store.

Why Evotax and not a general accounting firm?

The Evotax team is made up of experienced specialists who have already handled the accounting of many online stores, including those selling abroad, and know the specifics of e-commerce inside out!

Experience in e-commerce

Many online stores already trust us and, with the support of the Evotax team, can focus on growing and expanding their business!

No need to explain VAT OSS to us

We monitor the WSTO threshold for you and register you for VAT OSS before you exceed the limit, so you do not have to teach us first.

One team, one contact

Accounting, HR and tax advisory are handled by one team. You do not coordinate three different providers or repeat the same issue three times; you simply contact your assigned account manager.

We know the difference: own warehouse vs. dropshipping

Dropshipping and selling from your own warehouse follow different rules for recognizing costs and VAT. We match the accounting to the model you actually operate in, not to an average template.

General accounting firm vs. Evotax - a comparison

Five specific areas where e-commerce expertise makes a real difference to your settlements.

General accounting firm

Evotax

Integration with Allegro / Amazon / Shopify / BaseLinker

Usually none, data uploaded manually

Yes, data flows into settlements automatically

WSTO threshold monitoring (EUR 10,000 / PLN 42,000)

Rarely monitored proactively

Monitored on an ongoing basis, before the threshold is exceeded

KSeF support integrated with your sales system

Often limited to KSeF itself, with no integration

Configured together with your sales platform

Knowledge of dropshipping vs. own warehouse

Often treated like a regular sale of goods despite the lack of clear regulations, which leads to errors in determining revenue (margin/commission vs. full transaction value) and in currency conversions

Years of experience serving both dropshipping clients and clients with their own warehouses (including abroad)

Response time to queries

Rarely has a defined response time (SLA); responses depend on the firm's workload, especially during busy periods (month-end, start of the year)

Within 24 hours

What does working with Evotax on e-commerce accounting look like?

Our cooperation model is designed to take as much work as possible off online store owners and to organize all financial and accounting processes. We combine online accounting, efficient communication and modern accounting process management in one service model.

1

Contact and analysis of your online store's needs

We start by analyzing your sales model, number of documents, sales channels, marketplaces, invoicing method and tax needs. This lets us match the scope of accounting services to your specific business and its real challenges.

2

Choosing accounting, tax and HR processes

Next, we decide whether simplified bookkeeping, full accounting or an extended model that also covers HR and payroll will work best. We design the accounting processes, tax return management and data flow so that everything runs smoothly and predictably.

3

Setting up document flow, sales platforms and settlements

We implement an organized way of handing over documents, settling sales and processing data from different systems. This includes managing system integrations and connecting bank accounts, sales platforms and the chosen accounting system.

4

Ongoing accounting, reporting and full service

Day to day, we keep your books, check documents, prepare tax returns and support you with reporting and cash flow management. As a result, you get not just accounting services but real support in managing your finances and growing your sales.

E-commerce accounting - frequently asked questions

At what sales level do I have to settle VAT OSS in e-commerce?

The obligation to settle VAT OSS arises once the total value of your B2C sales of goods and services to consumers in other EU countries exceeds EUR 10,000 (PLN 42,000) in a given year. Up to that limit, you can treat cross-border sales like domestic sales and apply the Polish VAT rate.

Does an online store already have to use KSeF?

Yes, the obligation already applies to most online stores. Large companies (turnover above PLN 200 million in 2025) have been using KSeF since February 1, 2026, and all other businesses, including typical online stores, since April 1, 2026.

Do you handle marketplaces and other sales platforms?

Yes, we handle sales through marketplaces and various sales platforms, including multichannel models. We help organize data, settle online sales and implement processes suited to Allegro, Amazon, eBay and other channels.

Do you take over HR and payroll, social security (ZUS) and tax returns?

Yes, we offer full service covering not only online store accounting but also HR and payroll, social security (ZUS) and tax returns. This lets store owners focus on selling instead of managing paperwork.

How are accounting records and invoices stored?

We focus on a transparent document flow, clear archiving rules and ongoing data checks. Accounting records and invoices are organized so that your company has quick access to documents and is ready for inspections or audits.

Do you handle international transactions and sales within the EU?

Yes, we handle international transactions, sales within the EU and sales to foreign customers. We help settle VAT, prepare documentation and run international sales safely in line with current tax regulations.

Can you help me choose an accounting model for my e-commerce business?

Yes, we help match the accounting and settlement model to your scale, number of documents, sales method and growth plans. We advise when simplified bookkeeping is enough and when full accounting with more extensive accounting management is the better choice.

How do I settle sales on Allegro and Amazon at the same time?

Sales from each platform must be combined into one VAT register and one revenue record. The platforms report data separately, but tax settlement covers the whole business. Integration with BaseLinker or a similar system lets you collect the data automatically, without manually merging reports from each platform.

Does dropshipping require different accounting than selling from your own warehouse?

Partly, and it is not about when the cost is recognized: goods become a cost only when they are sold, regardless of where they are physically stored. The difference lies in VAT settlements and how transactions are documented. In dropshipping, what matters is where the goods and the supplier are physically located. This determines the obligation to register for VAT, any import of goods (for example from China) and the use of the IOSS procedure. It requires a different VAT setup than a store with its own warehouse in Poland.
